SUPPLY TENDERS.
SCOPE OF CONSULTANCY
- Facilitate for the supplier registration and maintaining the registered supplier status
- Facilitate for the bid submission
- Advise for the tender submission price
- Consult for securing the tenders
- Facilitate for the logistics during the supply period after winning the tender
- Facilitate for the quality control issues during the supply period

1. Supplier Registration
• Assist the supply company in understanding and complying with the supplier registration process in Sri Lanka.
• Prepare and submit all necessary documentation for supplier registration to relevant authorities.
• Maintain and update the registered supplier status, ensuring that all compliance requirements are met throughout the engagement period.
2. Bid Submission Facilitation
• Guide the supply company through the tender bidding process, including understanding tender requirements, deadlines, and formats.
• Prepare and review bid documents to ensure they are complete and compliant with tender specifications.
• Submit bids on behalf of the supply company within the stipulated deadlines.
3. Pricing Advisory
• Provide market analysis and insights to assist in determining competitive pricing for tender submissions.
• Advise on pricing strategies that align with the supply company’s business objectives and market conditions.
4. Tender Securing Consultation
• Offer strategic advice on enhancing the supply company’s position in the bidding process.
• Assist in preparing presentations and documents that highlight the company’s strengths and capabilities to prospective clients.
5. Logistics Facilitation
• Coordinate logistics planning and execution for the supply period post-tender award.
• Facilitate communication with local logistics providers to ensure timely delivery of supplies.
• Assist in resolving any logistical challenges that may arise during the supply phase.
6. Quality Control Consultation
• Advise on quality control measures and best practices to ensure compliance with the tender specifications throughout the supply period.
• Assist in establishing quality assurance protocols and monitoring systems to assess product quality.
• Facilitate communication with clients regarding quality issues and provide solutions as necessary.
7. Ongoing Support and Reporting
• Provide ongoing consultancy support throughout the duration of the contract.
• Prepare regular reports and updates on the status of tender submissions, logistics, and quality control.
• Serve as a liaison between the supply company and local authorities, clients, and stakeholders as needed.
8. Duration of Consultancy
• Supply consultancy agreement shall remain in effect for a period of 12 months from the date of signing and continue with extending for another 12 months upon awarding of any successful tender during the subsequent 12 month period.
9. Consultancy charges
• Supplier may offer a service fee for the pre-contract stage consultancy services
• Success fee : A reasonable percentage of the contract amount to be agreed by both parties
• Supplier should confirm the scope of Post contract stage services to quote by the consultant
